Privacy Policy

Wensum Sports Centre Terms and Conditions


By booking and/or accessing the facilities of Wensum Sports Centre Charitable Association (WSC) you are agreeing to the terms and conditions set out below: 


General

1) All members and guests making use of WSC facilities agree to comply with all WSC policies and Health and Safety notices displayed on the website or around the centre. 

2) Access: Entrance to WSC requires a valid, up to date sports or gym membership. In the absence of this access can be granted by paying a ‘Entrance Fee' of £1 at Reception upon entry. Any person(s) under the age of 16 does not have to pay an Entrance Fee. 

3) Behaviour: WSC operates a zero-tolerance policy regarding aggressive and abusive behaviour towards staff. 

4) The Employer and the employees recognise the right of all persons employed and / or visiting the centre to work / leisure in an environment free from unwanted personal harassment, sexual harassment or abuse of authority, and agree that any of the aforementioned actions will not be tolerated in the centre. 

5) Smoking: WSC operates as a non-smoking facility. If you wish to smoke then please head to the designated area outside. This applies to all forms of smoking including E-Cigarettes and Vapes. 

6) Personal Belongings: Wensum Sports Centre is not responsible for the loss, theft, or damage of personal belongings. Use of WSC Lockers are for the purpose of storage while participating at the centre. No long term use is permitted and lockers will be emptied if this is found to be breached, with all items placed into the lost property. For more information on our lost property procedure see Terms and Conditions. 

7) Liability: Wensum Sports Centre shall not be liable for any injuries, accidents, or health issues arising from the use of our facilities, except where caused by our negligence.

8) Data Protection: We comply with applicable data protection laws. Our Privacy Policy outlines how we collect, use, and protect your personal data.

9) Changes to Terms and Conditions: Wensum Sports Centre reserves the right to amend these Terms and Conditions at any time. Members will be notified of any significant changes.

10) Lost Property: Any lost property will be kept for a minimum of 2 weeks. After this period has elapsed any belongings left over will be donated to a local charity shop.  

Opening Times

11) Opening Times: WSC are open 7:00-22:30 Weekdays and 9:00-20:00 Weekends. Access to the facilities outside of these times is forbidden. WSC reserves the right to change its opening hours as deemed necessary.

12) Bank Holidays: WSC may operate a reduced schedule during bank holidays or other public holidays.

13) Changes to Opening Hours: In the event that the centre will be fully closed prior notice will be given by notices around the centre, on the website and social media.  

14) Display: All current opening hours are published on the website and at the entrance to the sports centre. 


Memberships 

15) Membership Types: We offer two types of memberships (Sports and Gym). Specific terms and benefits for each membership type are detailed on our website and membership brochures.

16) To hold a Membership the individual must be at least 16years old. Any person(s) who enter the facility under this age must be accompanied by someone over the age of 16. 

17) Membership Fees: Membership fees are payable as PAYG, Monthly or annually in advance for the gym. Sports memberships must be paid for in full on an annual basis. All fees are non-refundable, except as provided in Section [Blank]

18) Payment Methods: Both Sports and Gym Membership fees can be paid at reception via credit/debit card, or other methods as specified by Wensum Sports Centre. Club memberships may also be purchased via our website. 

19) Membership Suspension: Members may request a suspension of their Gym membership in exceptional circumstances. Requests must be made in writing and approved by Wensum Sports Centre Management Committee. 

20) Membership Cancellation: Members may cancel their membership by providing a written notice within 14 days of issuance date. Refunds will be issued on a pro-rata basis.

21) Membership Termination: Wensum Sports Centre reserves the right to terminate a membership for violation of these Terms and Conditions, misuse of facilities, or inappropriate conduct. In such cases, no refund will be issued.

 

Bookings

22) Booking Procedures: Sports facilities, including courts, pitches, and rooms, can be booked by phone, or in person up to 48 hours in advance of said booking. Sports members have an additional option of booking online through the WSC booking system and booking up to 3 weeks in advance. Bookings are subject to availability and must be made in accordance with our booking policies. 

23) Payment: Payment for sports bookings must be made at the time of booking unless the booking is made within 48 hours of the scheduled booking. In these cases payment can be made on the day. We accept various payment methods as specified by Wensum Sports Centre.

24) Cancellations and Refunds: Bookings can be cancelled up to 48 hours before the scheduled time for a full refund. Cancellations made within 48 hours of the booking will not be refunded unless the court is rebooked by another person. Up to 14 days should be allowed for the refund to be processed.

25) Usage: Users must adhere to the scheduled times and vacate the facilities promptly. Where possible staff will aim to have any changes to court set up complete prior to your booking arrival. In the case this isn't possible, set up time is inclusive of the scheduled times. Any damages caused during the booking period will be the responsibility of the user. 

Block Bookings

26) Booking Procedures: Block bookings must be arranged in advance by contacting events@wensumsports.com and completing a Club Bookings application form. Bookings are subject to availability and must comply with the guidelines set out on the form. All block bookings are required to re-apply every August to ensure WSC holds up-to date information on bookings numbers and engagement. 

27) Payment: A deposit may be required to secure the block booking, with the balance due prior to the start date. Payment terms will be specified in the booking confirmation.

28) Cancellations and Refunds: Cancellations for block bookings follow the same process as regular bookings. For more information refer back to section 24: Cancellations and Refunds. Regular cancellations may affect the block bookings chances of reapplication the following year.

29) Damage and mess: Users must use the facilities responsibly. Any damages or excessive cleaning required as a result of the event will be charged to the name listed as the lead booker.

30) Conduct: Lead bookers are responsible for the behaviour of their attendees and must ensure compliance with all of WSC's policies and guidelines.



Event Bookings

31) Booking Procedures: Event bookings can be defined as any one-off booking that requires multiple courts/hours of our sports facilities that needs confirmation of booking exceeding our standard 3 weeks. These must be arranged in advance by contacting events@wensumsports.com. Bookings are subject to availability and must comply with all of WSC's policies. All event bookings are required to contact the events team even in the event of a lead person looking to rebook a similar event.

32) Payment: A deposit may be required to secure the event, with the balance due 7 days prior to the start date. Payment terms will be specified in the booking confirmation.

33) Cancellations and Refunds: Cancellations for events follow a similar process to regular bookings (Section 24). However event bookings are subject to a 7 day cancellation window as opposed to the regular 48 hours. Cancellations outside of this 7 day window will not be refunded their deposit. 

34) Damage and mess: Users must use the facilities responsibly. Any damages or excessive cleaning required as a result of the event will be charged to the name listed as the lead booker. 

35) Conduct: Lead bookers are responsible for the behaviour of their attendees and must ensure compliance with all of WSC's policies and guidelines.


Meeting Room Bookings

36) Booking Procedures: Meeting Room bookings can be defined as any booking that books our meeting room. When booking the following details must be supplied; Name, Reason for usage, Date + Time, Set up required, Contact details (Phone + Email) and payment type. There is no set booking window and as such all bookings are only subject to availability and must comply with all of WSC's policies. All bookings must be booked via reception either in person, by email or over the phone. 

37) Payment: A deposit may be required to secure the booking, with the balance due prior to the start date. Payment terms will be specified in the booking confirmation. 

38) Cancellations and Refunds: Cancellations for Meeting Room bookings follow the same process as regular bookings. For more information refer back to section 24: Cancellations and Refunds. 

39) Damage and mess: Users must use the facilities responsibly. Any damages or excessive cleaning required as a result of the event will be charged to the name listed as the lead booker. 

40) Conduct: Lead bookers are responsible for the behaviour of their attendees and must ensure compliance with all of WSC's policies and guidelines.



Gym Usage

41) Induction: All new members must complete a gym induction before using the gym facilities. Inductions are provided free of charge. In the case a member doesn't wish to receive an induction they must sign the waiver form. In the case a qualified person isn't available for an induction, members must book an induction at reception or sign the waiver form if they wish to use the gym. Signing the waiver form does not exclude the member from the right to a free induction at a later date. An induction is mandatory for anyone between the age of 16 and 18. 

42) Health and Safety: Members are responsible for ensuring they are in suitable physical condition to use the gym facilities by completing the PAR-Q form as accurately as possible during their sign up. Members are responsible for notifying WSC of any changes to their health that may impact the validity of this PAR-Q form. Members must follow all health and safety guidelines, including the proper use of equipment and reporting any injuries or hazards to staff immediately. 

43) Conduct: Members must respect other users and staff, maintain hygiene standards, and use equipment responsibly. Misuse of equipment or inappropriate behaviour may result in suspension or termination of membership. For more information on this, please refer to the Gym Policy displayed in the gym premises. 


Parking

44) Availability: Parking facilities are available on a first-come, first-served basis. Although we will always do our absolute utmost,  Wensum Sports Centre does not guarantee the availability of parking spaces at any time.

45) Use: Parking is available only for members, guests, and users of Wensum Sports Centre while they are on the premises. Unauthorised or prolonged use of the parking facilities is not permitted.

46) Liability: Wensum Sports Centre is not responsible for any loss, theft, or damage to vehicles or their contents while parked on our premises.

47) Conduct: Users must park in designated areas and adhere to all posted signs and markings. Improperly parked vehicles, including those blocking entrances, exits, or other vehicles, may be towed at the owner’s expense.

48) Security: While we strive to maintain a safe parking environment, users are advised to lock their vehicles and take necessary precautions to protect their belongings.



Bar / Café 

49) The bar and café facilities are provided for the enjoyment of members, their guests, and visitors using the Centre for sports or leisure activities.

50) The sale of alcoholic beverages is restricted to:

a. Current members.

b. Guests accompanied by members.

c. Non-members who are participating in sports or activities at the Centre.

d. Alcohol will not be sold to members of the public who are not otherwise using the Centre’s facilities or supporting / attending an event put on by WSC.

51) The Centre operates a strict Challenge 25 policy. Anyone who appears under the age of 25 will be required to produce valid photographic identification before being served alcohol.

52) Alcohol must only be consumed in designated areas, which are clearly signposted within the premises. Consumption of alcohol outside these areas is not permitted. 

53) No alcohol may be taken off the premises under any circumstances.

54) Hot and soft drinks consumed outside of the bar/café area must not be in glassware or ceramic cups. They must be served and consumed in a separate container or takeaway cup provided by the Centre.

55) Staff reserve the right to refuse service of alcohol to any individual if they appear intoxicated, abusive, or in breach of these Terms and Conditions.
